8 Best WhatsApp CRM Tools for Indian Businesses

We compared 8 WhatsApp CRM tools that Indian teams shortlist, on free plans, INR prices, official API access, sales pipelines and how Meta's message charges are billed. Honest pros and cons, including ours.

Best WhatsApp CRM in India: a sales executive replying to customer chats from a shared team inbox

Indian customers already message businesses on WhatsApp, so the real question is how your team keeps up. The best WhatsApp CRM puts every chat next to the lead it belongs to, so nobody replies twice, forgets a follow-up or loses a customer when a salesperson leaves.

But "WhatsApp CRM" covers very different products. Some are WhatsApp inbox and broadcast tools with light contact management. Others are full sales CRMs with WhatsApp built in. They also differ on whether they use Meta's official API, whether they charge per account or per user, and how Meta's message charges reach your bill.

We compared 8 tools that Indian teams shortlist on exactly those points. If your leads still live in chats and a spreadsheet, read CRM vs Excel first, then use this guide to pick the best WhatsApp CRM for how you sell.

Quick Comparison: Best WhatsApp CRM Tools at a Glance

Prices are the lowest paid plan shown on each official pricing page on 19 October 2026, before GST. "Per account" plans include a set number of users; "per user" plans multiply by team size.

WhatsApp Business App vs WhatsApp Business API

Before comparing tools, decide which side of WhatsApp you need. Meta offers two products, and every tool on this list builds on one or both.

WhatsApp Business AppWhatsApp Business Platform (API)
Who Meta builds it forSmall businesses chatting from a single deviceMedium and large businesses messaging at scale
CostFree to download and useCharged per delivered message
Team accessUp to 4 linked devices, or 10 with multi-agent through Meta Verified or Meta OneMany agents through a CRM or inbox tool
AutomationGreeting and away messages, catalogApproved templates, automated flows, chatbots
BroadcastsNot available on linked devicesTemplate broadcasts at scale
CRM integrationLimitedBuilt for integration with CRMs

The Business App is enough for one or two people answering enquiries. Once several agents share one number, or you need to send template messages to many customers, you need the Platform, either directly or through a Business Solution Provider. The best WhatsApp CRM for you depends on which of the two your team needs.

What Meta charges in 2026

  • Per message, not per conversation. Since 1 July 2025, Meta charges per delivered message, based on the category (marketing, utility, authentication or service) and the recipient's country.
  • Service messages from 1 October 2026. Meta now charges for service messages too, after the first 1,000 free service messages per business phone number each month.
  • Free entry points. Messages sent after a customer writes in from a Click-to-WhatsApp ad or a Facebook Page button are free for 72 hours.
  • Partner fees are separate. Meta has no fee to access the platform directly, but partners may charge for their services. If you use a Solution Provider, Meta bills the provider, who bills you.

That last point matters. Even the best WhatsApp CRM can cost more than expected if its message rates are high, so compare both the subscription and the per-message rate each provider passes on.

How We Picked the Best WhatsApp CRM Tools

We started with the WhatsApp CRM tools Indian businesses most often compare, then kept the ones with real CRM features such as contact records, lead assignment or a pipeline. Each tool was scored on:

  • Official facts only. Prices and features come from each vendor's pricing, feature or help pages and Meta's own pages, checked on 19 October 2026.
  • How WhatsApp connects. Official API, a Business Solution Provider, or a link to the Business App.
  • CRM depth. Can you track a lead from first message to closed deal, or only tag contacts?
  • Real cost. Per account or per user, set-up fees, add-ons and how Meta charges are billed.
  • Honest limits. Every tool gets cons, including TracktCRM.

1. TracktCRM

TracktCRM is a simple sales CRM for small teams that sell on WhatsApp. Chats sit on the deal they belong to, inside a pipeline the team can set up in an afternoon.

These tools came close, but each had a gap that kept it off our list of the best WhatsApp CRM tools.

  • Gallabox lists its lead pipeline as an upcoming feature and states that Meta fees appear on your invoice with its markup.
  • DoubleTick has no free trial, starts at ₹36,000 a year plus GST for 5 users, and is designed to embed into the CRM you already have.

How to Choose the Best WhatsApp CRM for Your Business

  1. Pick App or API first. One or two people answering enquiries can manage with the Business App. Several agents on one number, or template broadcasts, need the official API.
  2. Decide if you need a pipeline. If WhatsApp brings leads you have to close, choose a tool that tracks deals, not just contacts. Our guide to lead management software explains how capture, assignment and follow-up fit together.
  3. Compare per-account and per-user pricing. Inbox tools like WATI, AiSensy and Interakt include a set number of users. CRMs like TracktCRM, Bigin, Zoho CRM and TeleCRM charge per user.
  4. Ask how Meta charges are billed. Check whether the provider passes Meta's rates through or adds a margin, and budget for service messages beyond the 1,000 free each month.
  5. Match your industry. Real estate teams, for example, juggle portal leads, site visits and brokers on WhatsApp. Our real estate CRM page shows that workflow.
  6. Test before you pay. Start on a free plan or trial with real leads for a week and see whether your team actually uses it.

The cheapest plan is not always the best WhatsApp CRM for your team. A broadcast tool is cheaper per seat but won't track deals, while a CRM tracks deals but may not send campaigns at scale. Frequently Asked Questions

What is the best WhatsApp CRM for small businesses in India?

It depends on what you need WhatsApp for. If you want chats and deals in one pipeline and a free plan to start, TracktCRM or Bigin are simple options. If you mainly send broadcasts and campaigns, AiSensy, Interakt or WATI are built for that. Telecalling teams that also use WhatsApp usually prefer TeleCRM.

Is there a free WhatsApp CRM?

Yes, with limits. On their official pricing pages, TracktCRM is free forever for 1 user with WhatsApp included, AiSensy has a Free Forever plan without broadcasting, and Privyr is free for up to 3 team members who can only engage their most recent lead. Meta's message charges still apply when you use the official API.

What is the difference between the WhatsApp Business App and the WhatsApp Business API?

Meta describes the Business App as a free app for small businesses that chat from a single device, with up to 4 linked devices, or 10 with multi-agent. The Business Platform (API) gives programmatic access for messaging at scale, approved templates and CRM integration, and Meta charges per delivered message.

How much does Meta charge for WhatsApp business messages?

Since 1 July 2025, Meta charges per delivered message, based on the message category and the recipient's country. From 1 October 2026, service messages are also charged after the first 1,000 free service messages per business phone number each month. Your provider's rate card shows the exact INR rates you will pay.

Can I use a WhatsApp CRM without the official API?

Some tools work alongside the WhatsApp Business App instead. Privyr, for example, keeps your conversations in the Business App. Without the official API you cannot send Meta-approved templates or broadcasts at scale.

Do WhatsApp CRM tools add a markup on Meta charges?

It varies, so read the pricing page. TeleCRM says you pay only the official messaging charges for its WhatsApp automation, Gallabox states it adds a markup, and Interakt, WATI and AiSensy bill messages from their own rate cards or credits. None of the rate cards we checked say whether they match Meta's list prices.

Which WhatsApp CRM includes a sales pipeline?

TracktCRM, TeleCRM, Bigin and Zoho CRM include deal pipelines, and Interakt adds one on its separate Sales CRM plan. WATI and AiSensy focus on contact management, tags and segments, and Privyr organises leads into client groups rather than a pipeline board.
